Data Protection Declaration and Consent for CHAT 2026

1. Purpose of Data Processing

By registering for the HOPE CHAT 2026 conference, you acknowledge that the University of Innsbruck and the CHAT committee (the “Organizers”), in accordance with the EU General Data Protection Regulation (GDPR) and the Austrian Data Protection Act (Datenschutzgesetz – DSG), will collect, store, and process any of your personal data (e.g., name, affiliation, contact details, dietary requirements) provided in the registration form, or in the case of presenters data provided in your submission to the CfP, for the following purposes:

  • Organization and Execution: Management of your participation, billing, and communication regarding the event.
  • Event Documentation: Inclusion of your name, academic title, and affiliation in the official participant list and conference program.

2. Publication and Online Presence

I hereby consent to the publication of my name, affiliation, email, and the title of my presentation/session in the digital and printed conference program. This information will be made available on the conference website (https://hopechat.chat-arch.org/) and may remain accessible online as part of the conference archives.

3. Transfer to Third Parties

To ensure the smooth running of the conference, the Organizers may transfer necessary data to third-party service providers. This includes for instance:

  • Catering Contractors: Transfer of anonymized or necessary specific dietary requirements and headcount.
  • IT/Platform Providers: For the hosting of the website and registration database.
  • Funding Bodies: If required for proof of attendance or financial auditing under Austrian law. All third parties are contractually bound to process data only for the intended purpose and in accordance with GDPR standards.

4. Storage Period

Your data will be stored for as long as necessary to fulfill the purposes mentioned above, or as required by Austrian tax and retention laws (generally 7 years for financial records).

5. Your Rights

Under the GDPR, you have the right to access, rectification, erasure, restriction of processing, and data portability. You also have the right to withdraw your consent for future processing at any time by contacting the organizing committee at chat2026.innsbruck@gmail.com. Please note that a withdrawal does not affect the lawfulness of processing based on consent before its withdrawal.
